Dramatic changes in event scheduling

An overview of the change in processes of scheduling events on campus and students’ reactions.

Modifications in the process of scheduling events on campus has left some students with questions. Last year students scheduled events on campus through 25 Live, a web based scheduling, publishing, and registration system to facilitate and manage the scheduling of events. This website was intended to help students, staff and faculty search for and request to have events on campus. A student could simply go online to 25 live and “claim” a classroom or meeting room for an event. This was the entirety of the process to schedule a classroom or an event at Hamline last year.

This year to schedule an event a student first needs to go to the student involvement center to hold the date, time, and location of the event. From the student involvement center, a student can pick up a form in which they need to fill out and get signed by their faculty advisor. Next, the student needs to schedule a meeting with classroom and space management for the event. In this meeting you will finalize details and talk about the event.

Cindy Chooraman, President of SOSA (Students of South Asia), mentioned, “The part that I truly appreciate  is that a student worker from classroom and space management will show up a little before your event starts and will help you get something you might have forgotten last minute. During SOSA’s biggest event of the fall, A Night in South Asia, we appreciated that someone was there to help us with audio and get last minute tables that we did not know we needed until we showed up to the space.”

Even with such a dramatic change in processes, students from various organizations have spoken about the changes in a positive manner. Natasha Lenz is on the Executive Board in both SOSA and the Pre-Law and Justice Society. Lenz explained, “Last year’s process may seem easier than this year’s process just because more steps are involved. From my experience, the changes are helpful because  of the added meeting with classroom and space management. They help with set up, catering, and media.”

In addition to the comment above, Chooraman said, “This is a new program and sometimes information gets miscommunicated, but I appreciate the process just because it makes sure that students are not alone in the planning process. I think we have to be patient with this new process because with time it will be very helpful for student organizations to start thinking about what is necessary for the event. Overall, I think this process will be easier in time, and I know it is a lot better than navigating 25 Live by yourself.”

Brienne Jans, Associate Director of Classroom Management Event Scheduling said, “the main goal is to serve as a resource.” She hopes the changes will make it easier on students to host events.

In addition to the other changes, they are currently working on more improvements. Specifically, they plan on making it easier for tabling.
